Setup for Payroll

To get set up for payroll if you intend to pursue course assistantships and teaching fellow opportunities, you are required to submit several forms.

All electronic forms are available online at www.your.yale.edu. Select “Workday,” Yale’s Human Resources and Payroll system, from the main page and log into Workday using your NetID and password. Complete the following forms:

    • Go to the “Pay” worklet and complete the “Federal Elections” tab
    • Go to the “Pay” worklet and complete the “State Elections” tab
    • Enter “Complete Form I-9” in the search box and follow instructions in Workday
    • Once completed, you must visit an I-9 Center to confirm your employment eligibility

For students receiving stipend payments from the Jackson School, your stipend checks will be distributed weekly on Thursdays, starting August 24, 2023 through May 16, 2024. You can calculate your weekly check amount by dividing your award stipend amount by 39 installments.

For International Students: Register with the International Tax Office

The Internal Revenue Service (IRS) requires Yale University to apply specific federal tax withholding and reporting rules consistent with your US tax status, i.e., resident alien or nonresident alien.  To properly determine your US tax status and tax treaty eligibility, you will need to complete the FNIS application.

Please register with the International Tax Office.

Direct Deposit - Payment Elections

We strongly encourage you to set up a direct deposit of your stipend checks into a bank account of your choice in the United States. This is the fastest and most convenient way to access your stipend each pay period. To set up a direct deposit, follow these steps:

  1. Log in to Workday using your NetID and password.
  2. Select the “Pay” widget on your Workday homepage.
  3. Next, select “Payment Elections.” From here, use the “Add” function to add a new account for direct deposit. You may add more than one account, and you can choose how to allocate funds across your accounts.

Once you have set up direct deposit, it may take one or two pay periods to take effect. Until then, your stipend check will be mailed to your home address listed in Workday under “Contacts”.

View Your Payslip

You should review your payslips each month in Workday.

Log in to Workday using your NetID and password. Select the “Pay” widget on your Workday homepage. Under “View,” select “Payslips.”
